Most of the organisations we work with are in the same position. There is too much technology to ignore and nowhere near enough to fill a full-time role. So the work lands on whoever is least afraid of it, usually the finance officer, or a committee member who built a website once in 2016.
The usual fix is to hire an agency for each project. That works right up until the project ends. The site goes live, the invoice is settled, everyone leaves. Eight months later something breaks, and fixing it is a new quote. Nobody is left who understands how it was built, sometimes including the people who built it.
FlexiTech is the other option. You get a named engineer or technical lead, embedded with your team for an agreed share of their week. Half a headcount is where most organisations start. They sit in your meetings, learn your systems properly, and are still there next quarter.
The difference is what we are paid for. On a project fee, a vendor does well when there are more projects. On a retainer, we do well when your systems stay boring. Maintenance stops being a renegotiation and becomes the job.
